Ramson Estates ("we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, share and protect personal information when you visit this website, submit a quote request, or contact us by phone, WhatsApp or email.

This Policy is written in line with South Africa's Protection of Personal Information Act 4 of 2013 ("POPIA"). By using this website or contacting Ramson Estates, you agree to the practices described here.

1. Information We Collect

We collect personal information in a few different ways:

• When you submit a Request a Quote form — your full name, contact number, email address, property address or area, property type, the service you're enquiring about, a description of the work needed, and your preferred date or time, where provided.
• When you contact us via WhatsApp, phone or email — your name, contact details, and the content of your messages, including any photographs you choose to send us of the property or issue.
• Automatically, when you browse the site — standard technical information such as your browser type and general usage of the site. See Cookies and Website Analytics below for more detail — currently this site does not use tracking cookies or analytics software.

2. How We Use Your Information

We use the personal information we collect to:

• Respond to your enquiry and prepare a quotation
• Schedule and carry out requested services
• Communicate with you about a booking, project or enquiry
• Process payments and maintain invoicing and business records
• Comply with legal, tax and accounting obligations
• Improve our services and the content of this website

We do not sell, rent or trade your personal information to third parties for marketing purposes.

3. Our Legal Basis for Processing

Under POPIA, we process your personal information on one or more of the following bases:

• Consent — you voluntarily provide your information when submitting the quote form or contacting us.
• Performance of a contract — processing is necessary to quote for, schedule, or carry out services you've requested.
• Legal obligation — for example, retaining invoicing records for tax purposes.
• Legitimate interest — such as keeping basic business records of enquiries and completed work.

4. Who We Share Information With

We do not sell your personal information. We do share it, only where necessary, with:

• Web3Forms — the form-delivery service that powers our Request a Quote form. When you submit the form, its contents pass through Web3Forms' servers on their way to our inbox. Web3Forms processes this data solely to deliver your message to us.
• WhatsApp (Meta) — if you contact us via WhatsApp, that conversation is carried over WhatsApp's platform and is subject to WhatsApp's own privacy policy in addition to this one.
• Our hosting and email providers — who store and transmit website data and correspondence on our behalf, under their own security and confidentiality obligations.
• Contractors and tradespeople — where we engage a third-party contractor to carry out part of a job, we share only the property and job details reasonably necessary for them to complete that work.
• Authorities — where required by law, court order, or to protect our legal rights.

5. Cookies and Website Analytics

This website does not currently use tracking cookies, advertising cookies, or analytics software (such as Google Analytics).

The site does load fonts directly from Google Fonts' servers to display correctly. As a normal part of that request, Google may receive your IP address and basic browser information — this is standard for any website using Google Fonts, and is not used by us for tracking or advertising. If we add analytics or other tracking tools in future, we will update this Policy accordingly.

6. Data Security

We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, misuse or disclosure. This includes serving the website exclusively over a secure HTTPS connection, restricting access to internal site files, and using reputable, security-conscious hosting and form-delivery providers.

No method of transmission or storage over the internet is 100% secure, and we cannot guarantee absolute security, but we take these matters seriously and review our practices as the site evolves.

7. How Long We Keep Information

We keep personal information only for as long as reasonably necessary for the purposes it was collected for — generally, for the duration of our relationship with you plus a reasonable period afterwards, and for as long as required to meet our legal, tax and accounting record-keeping obligations under South African law.

Subject to certain conditions set out in POPIA, you have the right to:

• Ask us to confirm what personal information we hold about you
• Request access to a copy of that information
• Ask us to correct or update inaccurate or outdated information
• Ask us to delete personal information we no longer have a valid reason to keep
• Object to our processing of your information in certain circumstances
• Withdraw consent, where processing is based on consent, at any time

9. Children's Privacy

This website and our services are intended for use by adults arranging property maintenance services. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take reasonable steps to remove it.

10. Photographs and Marketing

As set out in our Terms & Conditions, we may take photographs of completed work for quality-control, portfolio and marketing purposes. We will not intentionally publish identifiable personal information or private areas of your property without appropriate permission. If you'd prefer photographs of your property not be used for marketing, simply let us know in writing and we'll respect that.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the services we offer, or legal requirements. The latest version will always be published on this page, along with its effective date.
